📋 Role Overview & Responsibilities

We are seeking a highly proactive Executive Assistant/Office Manager to join our team and provide support to our Senior Partners, Head of Finance and GC. Reporting to our Head of Operations, you will play a critical role in managing calendars, coordinating and providing support in meetings, and managing the day-to-day operations of our office located in New York City. The ideal candidate will possess excellent organizational skills, a sense of urgency, and the ability to identify operational process efficiencies to create more bandwidth for strategic activities.

This is an ideal position for an ambitious, self-starting individual who works well with senior management teams and welcomes the opportunity to engage in special projects for the leaders they support. The EA will be a critical team member and will be working in a mature, well-funded entrepreneurial environment. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with exceptional written and verbal communication, administrative, and organizational skills.

Responsibilities

Calendars and Communication:Manage the leaders' calendars, including scheduling, prioritizing appointments, and coordinating internal and external meetingsEfficiently manage conflicting priorities and minimize time conflictsArrange travel itineraries, including flights, accommodations, ground transportation, and visas to optimize travel efficiencySupport the design and execution of leadership meetings and retreatsOccasionally, work alongside the marketing team to coordinate logistics for meetings, conferences, and events, both onsite and offsiteDraft, proofread, and edit various business documents, including memos, reports, presentations, and emailsAct as a liaison between the leaders and internal/external stakeholders

Information and Office Management:Monitor deadlines and follow up on action itemsAnticipate the leaders' needs and act proactively to address them, including preparing meeting materials, briefing documents, and agenda items in advanceExercise discretion in handling highly confidential information on behalf of the leadersOrganize and maintain confidential and sensitive information, documents, and files within the designated document retention systemProvide logistical and general office management support on a day-to-day basis, and when others visit the office space

Requirements:2+ years of previous experience as an EA supporting C-level executives or senior managementAbility to work from the NYC office 5 days a week Exceptional organizational skills with the ability to multitask and prioritize tasksPractices discretion and confidentiality when handling sensitive informationProactive mindset and the ability to act with a sense of urgencyExcellent written and verbal communication skillsProficiency and agility in computer skills, including Google suite (Docs, Sheets, Slides, Forms), database management, and online collaboration toolsStrong attention to detail and accuracyFlexibility and adaptability to changing priorities and demands, readily adjusting schedules and tasks as needed.

The target salary range for this position is $50,000 - $60,000, and is part of a competitive total rewards package including fully-covered benefits and incentive pay for eligible roles. Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations. We review all employee pay and compensation programs annually at minimum to ensure competitive and fair pay.
